Getting started in Fortnox – onboarding guide
To ensure a smooth collaboration from the start, the right settings and integrations need to be in place. Below is a practical step-by-step guide for getting started in Fortnox.
New to Fortnox
If you do not already have Fortnox, we will:
- Create your company through our agency license
- You will receive an activation email from Fortnox
- Select the modules you need (Accounting, Invoicing, Payroll, Inventory, etc.)
- Define user permissions (full access or limited access)
We recommend activating:
- Accounting
- Invoicing (if you sell services or products)
- Supplier invoice approval (if multiple users approve invoices)
Existing Fortnox company
If you already use Fortnox:
- We send a collaboration request from our agency
- Log in to Fortnox
- Go to Administration → Agency Collaboration
- Approve the request from Stormyran
Once approved, we will gain access and can begin working.
Set up bank connection and Tax Agency integration
Bank connection
We strongly recommend activating a bank connection. We will assist you in setting this up once we have access to Fortnox.
Benefits:
- Automatic bank transactions
- Simplified reconciliation
- Reduced manual errors
Swedish Tax Agency integration
This connection enables us to submit VAT and employer declarations digitally directly from Fortnox.
Register Stormyran as tax representative
- Log in to the Swedish Tax Agency
- Go to Representatives and Authorisations
- Add your Stormyran contact person as tax representative
Exact personal details will be provided separately.
Submit receipts via Fortnox Receipt App
All supporting documents must be stored in the system for correct bookkeeping.
- Download the Fortnox Receipt app
- Log in
- Photograph the receipt immediately after purchase
- Select payment method (company card, personal expense, etc.)
- Add a comment if needed
Tips for best results
- Take the photo directly at the time of purchase
- Avoid blurry images
- Ensure the entire receipt is visible
Supplier invoices
Send supplier invoices to your unique Fortnox inbox (found in the supplier invoice module). We review supplier details and book the invoice accordingly.
We can also set up approval rules, spending limits and project controls if required.
Customer invoicing
You can create invoices directly in Fortnox and use the article register for standard services. If you work with projects, we recommend tagging invoices accordingly.
If you prefer us to handle invoicing, let us know and we will set up a routine.
Payroll management
To start payroll processing, we need:
- Employment agreement
- Salary and start date
- Vacation model
- Bank details
- Any benefits
Monthly routine – how we work together
You ensure that:
- All receipts are submitted
- All supplier invoices are in the system
- Payroll documentation is completed
We:
- Book all transactions
- Reconcile bank accounts
- Submit VAT and employer declarations when required
- Follow up on questions or discrepancies
Important to keep in mind
- Use the company bank account for business expenses
- Avoid private purchases on company cards
- Contact us regarding hiring, dividends, major investments or loans
